As clients became accustomed to electronic file transfer and digital plots and reprints, they also realized we could store their plans and specs electronically for print on demand services. This eliminated the need for guesswork when it came to the number of sets to print for any given project. Sets could be printed in batches, as needed. The logical next step for PBI was to offer bid sets distribution services since we were storing the digital files. Now we could eliminate the architect’s need to set aside physical space in his building to store hundreds of bid packages. We could free up his personnel for other things by letting our personnel track the bid sets distribution process. Because we were tracking projects for many clients, we could be more cost effective. We also knew that the reporting process was critical if we were to be entrusted with this very important job. The service took off beyond our wildest expectations and led to the creation of pbiLINK, our computerized bid sets distribution service.
This software package gives you the ability to send detailed instructions to PBI concerning the printing and distribution of your plans and specs (including addenda information). You can set up the project from your computer, create a database of contractors, and attach specific contractors from your database to the project. Once distribution has begun, you can access reports on who has picked up, when, how many sets were taken, check numbers and amounts, when sets were returned, how they were delivered, and more – all via the Internet, at your convenience. At our end, we access your instructions, provide contractors with a detailed printout of sets numbers received, whether sets are refundable, pre-bid meeting information, bid opening dates, instructions on when and how sets must be returned, and information on how to contact the project manager, if necessary. All of your valuable information is stored on our server and protected with backup systems.This service has allowed our customers to reallocate employee resources, free up valuable office space, and actually bid more projects than if they’d been doing the document management themselves.
